Challenge
In 1996, the LA Metropolitan Medical Center went through an optimization of service offerings to make it profitable. In reviewing the infrastructure supporting those services Michael Grubb, Chief Financial Officer, noticed there were just a few photocopiers being utilized extensively across a number of processes and these units were failing regularly and causing process delays. For example, the admitting department had to make 15 copies of the "face sheet" for every new patient being seen, causing a lot of wear and tear on the copiers. It was clear LA Metropolitan Medical Center was in desperate need of some new devices. Immediately, Grubb had Pitney Bowes come out and start servicing the hospital with some of its basic photocopiers. However, over time as the hospital grew, even these copiers could not keep up with the volume and were unreliable.
Solution
Grubb explained, "I had a meeting with a representative from Print, Inc. to talk about our printing needs. During that discussion, it was recommended that we consolidate the number of printers spread across the facility and narrow the range, from 15 legacy models to five new ones, to simplify support. There were cost savings to be gained from not having to buy a huge range of different inks and toner cartridges etc. During that same meeting, Print, Inc. mentioned the multifunction capabilities of the HP LaserJet 8150mfp and we really liked the fact that these machines don't have as many moving parts as regular copiers, so there's less of a chance for mechanical failure."
The timing of the meeting with Print, Inc. was perfect because the LA Metropolitan Medical Center was just coming to the end of its service agreement with Pitney Bowes. "We signed an agreement with Print Inc. to have 12 of the HP LaserJet 8150mfps installed across the LA Metropolitan Medical Center and Hawthorne Hospital campuses," noted Grubb. "Our Hawthorne site also had a mix of rented copiers that were constantly breaking down too."
Results
Today, the LA Metropolitan Medical Center and Hawthorne Hospital have had the multifunction printers in production for more than nine months. The plan was for the units to be used primarily as copiers, with the thought that the many additional functions, including printing, scanning, digital sending and faxing, would be available should the staff ever need them.
Grubb commented, "When we recently analyzed the operational costs we saw savings of around $600-700 per month and this includes the expansion of hardware--for example, at LA Metropolitan Medical Center we had 6 basic copiers before and now we have 9 multifunction printers deployed! The main cost saving comes from the ability for the multifunction printers to have dual head scanning--a double-sided master document can be copied both sides simultaneously to produce dual-sided copies. The operator doesn't have to feed the sheet through twice it's very simple and efficient. The users are now willing to create dual sided originals knowing how easy they are to reproduce on the LaserJet 8150mfp. This saves us an incredible amount of paper stock."
Another cost saving has been with respect to toner. "We now only need one type of toner for all our print/copy needs and Print, Inc. makes sure we always have what we need and the printers are stocked up," explained Grubb. "Plus, there's no mess with loading the toner into these devices. Our overall productivity has been much better by utilizing these units." Most importantly Grubb is ecstatic that the HP LaserJet 8150mfps have not broken down at all. He noted, "We're basically using them, pounding them, as copiers not printers and they are performing wonderfully. I'm very impressed--they run and they run and they run! With the increase in the number of devices and under our agreement with Print, Inc., the individual machine statistics are reviewed and the units are rotated to ensure even wear and tear."
The contract with Print, Inc. is working well. Grubb said, "I've worked with many service companies in the past that promise proactive support and it's never really happened until Print, Inc. The support engineers are out here regularly, making recommendations about printer location, etc. If toner is low, Print, Inc. comes out and replenishes it immediately--there's no real down time or productivity loss for us. Plus, Print, Inc. has put together a very flexible agreement for us. If we find that our print/copy volumes increase then we can add on more units for an incremental cost rather than having to negotiate whole new contracts."
In the last couple of months Grubb has purchased a new workgroup server and slowly the staff will gain access to the hospital network. Grubb also plans to have the multifunction printers connected to the network, which will increase the productivity of the employees and security for confidential documents he commented, "It'll be great to be able to request print jobs from our desks. I usually have financial statements and a variety of reports that end up having multiple copies made and it's so time consuming because I have to print it locally then walk over to the copier and stand there while the copies complete. I think the users are going to be blown away with everything that the HP LaserJet 8150mfps can do. I foresee a huge reduction in print output, and therefore cost, once we can transfer files digitally."
